Elements of official documents

A document generally consists of document number, classification and duration of confidentiality, urgency, symbol of the issuing organ, document number, issuer, title, main sending organ, text, annex description, signature of the issuing organ, date of writing, seal, notes, attachments, cc organ, issuing organ, issuing date and page number.

(2) the typesetting form of official documents

Typesetting form refers to the standard printing format of various elements of official documents on the layout of official documents.

1. Document paper size:

Adopt international standard A4 paper, 2 10MM*297MM.

2. Document writing form

3. Font size

4. Page number

5. Letters and official documents

(5) Document number: Document number is the serial number arranged by the issuing authority in the order of issuing documents. It consists of words, year and serial number of the issuing authority. 2. Main parts of official documents

All the contents below the red reversal line on the front page of the official document sent to the CC organ (excluding) are collectively referred to as the text. Including: title, main sending organ, text, attachment description, written date, seal, remarks and attachments.

(1) official document title: an accurate and brief summary of the main contents of an official document. It consists of the name, reason and language of the issuing authority. In addition to the names of laws and regulations and book titles, punctuation marks are generally not used. There are two empty lines under the red reverse line with small label No.2, which can be divided into one or more lines and arranged in the center; When looping, the meaning should be complete, the arrangement should be symmetrical and the spacing should be appropriate.

(2) Main sending organ: refers to the main accepting organ that requests official documents to be processed or answered, and should use the full name, standardized abbreviation or the same type of organ in a unified way. (3) Document body: The document body expresses the specific content of the document. It is usually divided into lead, subject and conclusion. (6) Written time: refers to the time when the official document takes effect. The date adopted by the departmental meeting or issued by the person in charge of the issuing authority. The date issued by the person in charge of the last issuing organ of the joint issuing department. Logo is under the text, two lines are empty and four words are empty. Mark the year, month and day with Chinese characters; ? Zero? Write as? ○? .

(7) Seal: If the official document is signed by the issuing authority, it shall be stamped with the seal of the issuing authority and be consistent with the signing authority. General official documents and telegrams bearing the marks of specific issuing organs may not be stamped. The official documents jointly submitted shall be sealed by the host organ, and the official documents jointly issued shall be sealed by the issuing organ.

The official documents issued by a single organ are not signed by the issuing organ, but only marked with the written time. The seal should be 2 mm to 4 mm away from the text, straight and centered, and press the writing time. The seal should be red.

When the lower arc of the seal has no words, the lower set method is adopted, that is, only the lower arc is pressed in writing time; When there are characters in the lower arc of the seal, the middle sleeve method is adopted, that is, the center line of the seal is pressed in writing time.

When joint writing needs to be stamped with two seals, the writing time should be opened, with 7 words on the left and right; The seal of the organizer is in front; Both seals are stamped with the writing time, and both seals are red. Only by using the same stamping method can we ensure the orderly arrangement of seals. The two seals do not intersect or are tangent to each other, and the distance between them is not more than 3mm.

When a joint document needs to be stamped with more than 3 seals, in order to prevent blank seals, the name of the issuing authority (abbreviation) should be arranged between the time of issuing the document and the text. The seal of the organizer is in the front, with a maximum of 3 pieces in each row, and the two ends shall not exceed the core; If there is one or two seals in the last row, they are all arranged in the middle; The seals do not intersect or are tangent to each other; At the bottom of the last row of seals, the two words on the right indicate the writing time.

When the blank space left after document typesetting cannot accommodate the position of the seal, measures should be taken to solve it by adjusting the line spacing and word spacing, so that the seal and the text are on the same side, and no signs are allowed? (8) Precautions: Other matters that need to be explained, such as the distribution scope of official documents, precautions for use, contact persons and contact information. If there are notes on the official document, the words "Fangsong No.3" and "Left Space No.2" should be marked in brackets on the next line when writing.

(9) Attachments: explanations, supplements or quotations to the text of official documents. The attachment shall be bound together with the text of the official document and marked in the upper right corner of the attachment on line 1. 3. Document version record part

All elements placed under the CC authority are collectively referred to as version notes. Including: CC authority, issuing authority and date of issuance.

(1) CC organ: refers to other organs that need to execute or know official documents except the main sending organ.
